File Maintenance Instructions
The File Maintenance option will allow you to build and maintain
your catalog. Options are available to add new entries, or to
delete, change or view existing entries. An option is also
available to search the database for specified key words or
phrases.
File maintenance actions are accomplished using the Function
Keys. The Function Keys are located on the top row of your
keyboard and are numbered F1 through F10. The uses of the
Function Keys are as follows:
F1 - New Key. Depress this key to enter a new record key.
In this case, the record key is the book Classification. You
also use F1 to view the entry for any given classification
number. When entering the Classification number, the high order
positions must be fill with leading zeros if required.
F2 - Append. Depress this key to Add a new entry into the
catalog. To complete the add process, first depress F1 to enter
the Classification and then depress F2 to enter the remaining
information.
F3 - Change. Depress this key to Change a previously
entered item. To complete the change process, first depress F1
to enter the Classification number for which the catalog entry
will be changed. If the entry is the correct one to be changed,
depress F3 to make the change. If the entry is not the one to be
changed, depress F5 (View Next) to continue down the catalog
until the correct entry is found. The Change may also be
preceded by the Find function.
F4 - Delete. Depress this key to Delete a previous entry.
To complete the Delete process, first locate the appropriate
entry using F1 or the View or Find functions, then depress F4.
You will then be ask to verify that the correct entry is being
deleted.
F5 - View Next. Depress this key to view the next
sequential catalog entry. Entries are filed in the catalog in
Classification order.
F6 - View Previous. Depress this key to view the previous
sequential catalog entry.
F7 - Find. Depress this key to Find the first entry that
contains the specified key word or phrase. After depressing F7,
you will be asked to enter the key word or phrase. You may abort
the Find function by depressing the ESC key.
F8 - Find Next. Depress this key to Find the next
occurrence of the specified key word or phrase. This function
must be preceded by the Find (F7) function.
Note: An alternate way to rapidly locate the desired entry is to
use F1 to locate classification number. If the specified entry
is not found, F5 may then be used to display the next higher key
or F6 may be use to display the next lower key. To move to the
top of the catalog, depress F1 and then depress RETURN.
F9 - not used.
F10 - Quit. Depress this key to exit the File Maintenance
program and return to the Main Menu.
The following data entry conventions are used:
(1) Depressing the TAB key will cause the cursor to be
positioned at the first character of the next field.
(2) Depressing the Up Arrow will cause the cursor to be
positioned at the first character of the previous field.
(3) Depressing the Down Arrow will cause the cursor to be
positioned at the first character of the next field. Depressing
the Down Arrow when the cursor is over the last field will cause
the entry to be written to the database.
(4) Depressing the Left Arrow when the cursor is located in
the first position of a field will cause the cursor to be
positioned at the first character of the previous field.
(5) Depressing the Right Arrow when the cursor is located
in the last position of a field will cause the cursor to be
positioned at the first character of the next field.
(6) Depressing Control V will turn on Insert Mode. When in
Insert Mode, all characters of a field to the right of the cursor
will be moved one position to the right as new characters are
entered. The right most character will be lost.
(7) Depressing the ESC key will cause the function in
progress to be aborted.
(8) Depressing the Return key will cause remaining fields
to be skipped and the entry to be written to the database.
(9) Depressing the Help key will give you assistance
relating to what kind of data are required to be entered at the
current position of the cursor.
WARNING!!
Be sure to exit the program by selecting "Quit" from the menu.
Selecting "Quit" causes the index file to be written to disk.
The failure to exit properly from the program may result in the
data being rendered unusable. As insurance against such a
disaster, be sure to backup your data files often.
